Policy Statement

Coffs Ex-Services Club is subject to the provisions of the Privacy Act 1998. The Act contains 10 National Privacy Principles that set standards for the handling of personal information. The Club has a commitment to privacy and the safeguarding of member, visitor and staff personal information.

Policy Details

Any personal information provided to the Club (e.g. name, address, date of birth and contact details), including information collected as a result of a membership card being placed in a machine that is linked to a member loyalty system (not ATMs) that may provide a benefit or service to the individual, will be protected.

The Club does not usually disclose personal information to any other organisation or person unless there is a legal requirement to do so. The Club may also disclose personal information to relevant authorities if it reasonably believes that there is a threat to an individual’s life, health or safety, or public health or safety. If the Club has reason to suspect that that unlawful activity has been, is being or may be engaged in, personal information may be used or disclosed as a necessary part of any investigation and reporting to relevant persons or authorities.

The Club may disclose information to third parties that provide services under contract to the club. These contracts require the third party to keep personal information confidential and secure.
Personal information, including information about an individual obtained as a result of them placing their membership card in a gaming or other club machine (not ATMs), may be used by the Club for marketing purposes to improve our services and to provide you with the latest information about those services, any new related services and promotions.

If an individual does not wish to receive information about services and promotions, the Club, on request, will remove their name from mailing lists.
An individual has a right to access any personal information that the Club may hold about them , including a right of correction of your information. The Club will generally not charge a fee for an individual to access their personal information.

Employee records are exempt from the Privacy Act fro purposes which relate to the employment relationship. However, the Club has a commitment to maintaining the privacy of employee’s personal information. Only senior staff and management can access employee records.

The Club will provide a statement of employment/separation certificate stating the period of employment and the position the employee held. The Club will not comment on a staff member’s employment if it is contacted by an organization such as a bank or real estate agent. If an employee is applying to any such organisation such they may request employment details to be printed on Club letterhead to present to the organisation themselves.

Policy Compliance

It is important that all staff members abide by the Club’s Privacy Policy. All staff are required to treat all personal information they view in the course of their duties with the strictest confidentiality.

Any staff member who is found to be accessing, using or disclosing personal information in any way other than is required in completing their duties will face serious disciplinary action up to and including dismissal.
