The Conference & Banqueting Rooms

Coffee CupsThe Club offers 7 rooms available for conference and banqueting requirements, from the Board room catering for 15 to the large auditorium catering for 1000.

The Auditorium - complete with stage, audio visual room, dressing room, in venue bar facilities. Catering for 500 conference style, 450 banquet style or 700 cocktail style.

The Rainbow Room - offering natural lighting, amenities, fully carpeted. Catering for 250 conference style, 180 banquet style, 300 cocktail style. This venue also offers a pre reception lobby for pre dinner drinks or as a delegate registration area. Ideal venue for that corporate dinner, farewell party or catering reception.

Grand Auditorium - The above 2 rooms combine to offer you the Grand Auditorium Catering for the large conference, corporate dinner or trade expedition venue. 1000 delegates conference style, 650 banquet style, 1200 cocktail style.

The Rendezvous Room - the ideal venue for the smaller corporate lunch or dinner. The Rendezvous room caters for 100 banquet style, 150 cocktail style. The venue hosts a fully equipped cocktail bar for convenience to your guests.

Board RoomThe Boardroom - for the smaller meeting or the serious board gathering. Catering comfortably for up to 15 delegates the venue is fully sound proofed, natural lighting, offering views of the lush bowls greens, phone and sky channel connections.

The Bowls Club - This club is run by the Ex-Services club and is a part of our large complex. The bowls club offers an auditorium to cater for 300 conference style, 200 banquet style, 400 cocktail style. A small pre reception venue is located adjacent to the auditorium. Offering an in venue bar, amenities, sky channel, dance floor this venue can be used for a variety of events.

The Bowls club is a little older in building style, it does offer 3 bowls rinks and arrangements to use these greens as a corporate afternoon can be arranged.

All venues are fully air conditioned.

The room hire rates include the seating set up, overheads, cleaning. Venue hires may be negotiated and are calculated on your room set up, catering and beverage requirements.

Audio Visual

The Club provides basic audiovisual requirements for use at your conferences / meetings, please request this equipment when making your booking.

  • Overhead Projector Screen.
  • Television and Video monitors and DVD player.
  • Whiteboards – markers.
  • Flipcharts – paper – markers.
  • Microphones
    Roving - Free, Lapel - $45.00.
  • 1x Portable CD player.
  • Data Projector & Laptop $100.00 per day.
  • Electronic Whiteboard $50.00 per day.

We offer assistance should you require professional audio / technical advice.

Special event themeing can be arranged through local companies.

Confirmation & Deposits

A deposit of $200.00 is required to secure your booking. Where the booking amount is less than $200.00 the venue hire is required as your deposit. An invoice detailing all final charges shall be forwarded to you at the completion of your function.

Cancellation

Notice of cancellation given within 1 month of the date of the event shall attract a 75% refund of the function deposit.
Notice of cancellation given within 2 weeks of the date of the event - no refund of the deposit will occur unless the allocated room can be re-booked whereupon 25% of the deposit will be refunded.
Notice of cancellation given any time after this period shall forfeit 100% of deposit paid.

Final Numbers

We understand the difficulty in ascertaining and guaranteeing final numbers.

To assist us to adequately cater and staff for your function we require an approximation of numbers 1 week prior to the function date and final numbers must be advised 48 hours prior. This final number is the number that shall be charged for unless the numbers increase.

Functions scheduled for Sunday, Monday or Tuesday require the guarantee of numbers by 3.00pm on the preceding Friday. In the event of the guarantee not being received the original estimated attendance figures will be charged for unless the numbers increase.

Catering & Beverages

All Catering and Beverage requirements are to be provided by the Coffs Ex Services Club. Wedding, Birthday, Anniversary or Celebratory cakes being the only exception.

Agreement

The Club agreement is to be completed and returned to the Functions Co-Ordinator prior to the function date.

Club Access

Access to the Club is available from 9.00 am only. Should you require entry earlier than this time then arrangements can be made to accommodate. Entry is via the main Vernon Street entry. Load in of all equipment must be advised to the Co-ordinator prior to the function date.
